Accept cash against an existing transfer recorded by the sender within your organization. Acceptance creates a deposit at the recipient's cash register and completes the transfer. A separate manual deposit does not complete the original transfer and may duplicate accounting entries.
Prepare the office and find the transfer
- Select the recipient office's workplace. Check office access, cash operation permission, the device and its open shift. If a closing package is already prepared, discuss its state with the responsible person first: a new deposit will be blocked.
- Open “Accounting” → “Cash transfers”. Use “Office” and “Status”, then open the agreed transfer's card. The list belongs to the current organization; being able to view it does not grant permission to accept transfers in every office.
- Check sender and recipient offices, the amount, the sender and withdrawal details. “In transit” means dispatch is saved. “Awaiting withdrawal” is not ready for acceptance; a “Completed” transfer must not be accepted again.
- Count the cash actually received. The acceptance amount cannot be changed, and partial acceptance is unsupported. If amounts differ, stop and agree the next steps with the sender and the person responsible for cash.
“Date from” and “Date to” filter entry creation, not sending or receiving time. At day boundaries they may differ from the displayed local date. If you cannot find the transfer, check its office, status and details with the sender; do not create a replacement just because the list is empty.
Record the deposit
- In the card, click “Print receipt order”, check the amount, office and employee, and print the PKO. Opening the preliminary form does not yet deposit money or assign a final number.
- Return to the card and click “Print receipt”. The corresponding list action is “Receive”. Wait for the device result and saved acceptance. Do not start the same action from another screen at the same time.
- Check “Completed”, the receiving employee, receipt time and filled “Deposit” details. Check the deposit and balance in the recipient's shift. The sent and accepted amounts must belong to the same transfer.
Sign the PKO
In PEP mode, the receiving employee signs the individual PKO. No signing window opens automatically after acceptance: open “Cash register” → “Awaiting signature” → “Sign”. Check the final number and amount, select the employee's phone and available SMS or Telegram, then confirm the code. Signing requires the corresponding permission and office access. A wrong code or closing the window does not cancel the deposit; sign the same order. An unsigned PKO blocks regular closing in PEP mode. Manual mode opens no code window.
If acceptance fails
“Receive failed”, a timeout or a save error does not prove that the device did not perform the deposit. Check the device result, receipt, movement and receiving shift's balance, as well as the transfer card. Save the error, amount, device and attempt time. A movement may be saved before its transfer link is completed.
Do not repeat the deposit or physically receive money again until the outcome is established. If the responsible person confirms no command was executed and the cause is resolved, continue the same transfer: reopen the PKO and perform acceptance. An unknown outcome requires stopping. An incoming transfer that is “In transit” or “Receive failed” may also block shift closing when the relevant check is enabled.
