Create a separate account for each employee. The role defines permitted actions, while the selected offices determine where the employee can work.
Before you start
- Viewing requires access to employees; adding and updating require the relevant permissions. By default, an administrator manages these actions.
- The company must have active offices set up. If the application asks you to choose a workplace, do so first.
- Saving requires active account access: an active trial or paid access for at least one office. Adding an active employee also checks the employee limit.
- Prepare the employee’s full name, tax ID and valid email address. A login password will be sent to this address.
Steps
Add an employee
- Open Organization → Employees and click Add employee.
- Complete the required fields Last name, First name, Tax ID and Email. The tax ID must contain 12 digits. The email must differ from addresses used by existing accounts.
- If needed, complete Middle name, Phone and Internal number. In the phone field, choose an available country code and enter the number.
- Choose Role and read the permissions shown below it. For normal work, new employees have the following checkbox selected: Active.
- In Employee offices and cash register choose at least one office. For the role Administrator this selection is hidden: administrators can access all active company offices.
- To restrict the employee’s cash register operations, select Cannot perform cash register operations. If cash registers are used, you can choose Preferred cash registers by office: each cash register must be active and belong to the specified office. This setting does not grant additional permissions.
- If needed, assign positions by organization and add employee documents. These details are optional and do not replace the role or office access.
- Click Create. The employee card opens. A message with the sign-in password will arrive at the specified email address.
A password is generated automatically. The employee signs in with their email address and the password from the message.
Update details, role or offices
- In the Employees list, find the record by full name or email. Use the role and status filters if needed.
- Open the row action menu and choose Edit employee.
- Update the required fields, role and office list. When switching to the role Administrator the individual office list is removed. For other roles, keep at least one accessible office.
- If you remove an office, check its preferred cash register and the position in its organization. You cannot keep a preferred cash register for an office the employee can no longer access.
- Click Save and check the employee card. Updating does not send another email or change the password. The new email becomes the address used for login and password recovery.
If the selected workplace is no longer accessible to the employee, the application clears this selection. The employee will need to choose an accessible workplace. Archived accounts and the ERP administrator account cannot be edited through the normal form.
Check the result
The card should show the correct full name, email, role, activity status, offices and additional details. For a new employee, separately check email receipt and login. The role’s permissions are shown below it; the cash operation restriction further limits the employee’s work.
The Active checkbox does not prevent login on its own. It affects the count of active employees and their availability in certain lists. To stop the employee’s work, use the archive; separately check that previously opened access has been closed.
Troubleshooting
- No add button or edit action: check your role’s permissions. The ERP administrator cannot be edited in this section.
- An error appears below a field: check required details, the 12-digit tax ID, email validity and availability, and the phone country code and number.
- No offices to choose from: check whether company offices are active and accessible to you. An employee who is not an administrator needs at least one office.
- The active employee limit has been reached: contact the person responsible for the subscription. Do not clear “Active” as a way to prevent login.
- The employee was created but no email arrived: the account is already saved, so do not create it again. Check the email address and Spam folder. Request password recovery from the login page if needed. If delivery remains delayed, contact the administrator.
- The subscription prevents saving: contact the employee who manages the company subscription.
